Automate the routine work in your coin business.
A workflow starts on a schedule, when something happens in CoinManagerPro, or when another system calls its webhook. Its steps value coins, update listings, and send alerts. Each run has a log.
Custom workflows are in the Professional plan (up to 5) and in Business and Enterprise (no limit).
An active workflow in CoinManagerPro named Paid sales to Slack. The trigger is A sale is paid. The next step posts the sale to Slack, and the last step emails the customer. Beside it, the run history lists five runs, four completed and one failed.
What a workflow can do
Build a workflow from a trigger and steps. Pause it, run it now, or open its run history.
Schedule trigger
Run hourly, daily, weekly, or on any five-field cron schedule, in your time zone.
Event triggers
Start when a coin is added or changed, when a purchase is recorded or changed, or when a sale is paid in full.
Webhook trigger
Another system starts the workflow with a URL and a secret. An Idempotency-Key header stops a repeated call from running twice.
Trigger filters
Run only when a field matches, such as a sale total greater than $1,000 or a grade that contains MS.
AI steps
Value coins, assess grades, write descriptions, and read coin photos. AI steps use credits.
Marketplace steps
List coins on a marketplace, reprice marketplace listings, buy shipping labels, and refresh cert data.
Run history and logs
See each run, what started it, how long it took, the credits it used, and the result of each step.
Retries
A failed event run retries with a longer wait each time. You can also retry or cancel a run yourself.
How to set up a workflow
01
Pick the trigger
Manual, schedule, event, or webhook. For an event, select the events and any filters.
02
Add the steps
Find and update coins, run AI steps, update listings, or send an email, a text, a push notification, a Slack post, or a web request.
03
Activate it
The workflow runs when its trigger fires. Run now starts it at any time.
04
Check the runs
Open Run history to see each step's result. Retry a run that failed.

Questions about workflows
Which events can start a workflow?
A coin is added to inventory, a coin is changed, a purchase is recorded, a purchase is changed, and a sale is paid. A change that a workflow makes does not start the same workflow again.
Do workflows cost extra?
Workflows come with the Professional, Business, and Enterprise plans. AI steps and text messages use credits. Each step shows its credit cost when you set it up.
How does the webhook trigger work?
The workflow gets a URL. The other system sends its secret as a bearer token and a JSON body. The body becomes the trigger data for the steps. You can make a new secret at any time.
What happens when a step fails?
The run stops and its log shows the failed step and the error. An event run retries on its own, up to the workflow's retry count. You can retry any failed run from Run history.
Can an AI assistant build a workflow for me?
Yes. Through the CoinManagerPro MCP server, Claude or ChatGPT can make a workflow draft. You review the draft and activate it in the app.
