Track every coin you send to PCGS, NGC, and CAC.

Build a submission from your inventory, mark it sent with the tracking number, and import the return sheet when the coins come back. Each coin gets its new cert, grade, and grading cost.

PCGS, NGC, and CAC do not offer an API for order status. You record the shipment and import the return.

Grading submission GS-0007 to PCGS in CoinManagerPro, with 3 of 4 coins back. Each returned coin shows its new PCGS cert number, its grade, and the grading cost added to the coin, such as an 1893-S Morgan dollar graded VF20 with $45 added to cost. A 1916-D Mercury dime is still at grading.

What grading submissions do

One record per shipment, from the draft to the last coin back.

Submissions by grader

Start a submission for PCGS, NGC, or CAC with the service level and the grader's order or invoice number.

Pick coins from inventory

Each coin gets a line number and a declared value. A coin that is sold or on another open submission cannot be added.

Mark as sent

Enter the date, the tracking number, and the cost of shipping and insurance. The coins show as at grading.

Import the return sheet

Upload the order's grades as CSV or Excel. CoinManagerPro matches rows by line number, then by the cert you sent.

Grading costs in the coin's cost

Each returned coin's fee, plus an even share of shipping and insurance, is added to its cost.

Rows to match by hand

A row the import cannot match waits in Rows to match. Pick the coin, or leave the row out. You can also record a return one coin at a time.

Tracking both ways

Keep the tracking number for the shipment out and the return, with the dates sent and received.

Permissions

Building and sending a submission needs "Edit coins". Recording a return, which changes cost, needs "View cost".

How a grading submission works

01

Build the submission

Pick the grader and add the coins. Each coin gets the next line number.

02

Mark it sent

Enter the tracking number and shipping costs. The coins show as at grading in your inventory.

03

Import the return

Upload the grades sheet. Check the column mapping once. CoinManagerPro keeps it for that grader.

04

The coins come back

Each coin gets its new cert, grade, designation, and cost. CoinManagerPro looks up the new cert and fills in the coin. Close the submission when every coin is back.

Questions about grading submissions

Does CoinManagerPro get order status from PCGS or NGC?

No. The graders do not offer a public API for submission status. You enter the shipment and import the return sheet, or record each coin's result by hand.

What file does the return import read?

A CSV or Excel sheet of the order's grades. No grader publishes a fixed format, so you map the columns, such as line, cert, grade, and fee. The mapping is kept per grader.

How are grading fees added to cost?

Each coin's grading fee goes into its cost. Shipping both ways and insurance are split evenly across the coins that came back.

Can I record a CAC sticker?

Yes. A CAC return records the result without changing the coin's cert or grade.

What happens to a crossover?

Add the slabbed coin with its current cert. When it comes back, the import matches the new cert to the cert you sent and updates the coin.
