Record a purchase
A purchase records who sold you the coins, when, what you paid, and how the cost is split across the coins. You need the "Manage purchases" permission.
Record a purchase
- Go to Purchases.
- Click "New purchase".
- On the Details step, pick the seller in "Purchased from" and enter the "Purchase date". The other fields are optional: "Source", "Location", "Seller invoice number", "Check number", "Payment status", "Deposit date" and "Notes".
- Under "Coin source", choose "Contractor purchase" or "Owned".
- Click "Next".
- On the Coins step, add each coin. Use "Add a coin from inventory" for a coin you already have, or "Add a new coin" for a new coin. "Import a list" reads a contractor's spreadsheet, photos or PDF.
- Click "Next".
- On the Cost step, enter the "Total cost". Then choose how to "Split the cost":
- "By entered cost": each line costs what you enter. The line costs must add up to the total.
- "Evenly": the total is split evenly across every coin.
- "By estimated value": the total is split in proportion to the estimated value of each line.
- Click "Next".
- On the Deal step, choose "Outright" or "Profit share".
- Click "Next" and check the Review step.
- Click "Record purchase".
New coins go into your default warehouse. The cost of each coin is written to the coin and its history.
After the purchase
Open the purchase from the list. The page shows the total cost, the units sold, the revenue and the profit. Use these actions:
- "Update payment" sets the payment status, the check number and the deposit date.
- "Add coins" adds more coins to the purchase.
- The "More actions" menu has "Edit purchase", "Edit cost", "Edit deal", "Add coins from photos", "Show coins in inventory" and "Delete purchase".
When you delete a purchase, the coins stay in inventory with their cost.
Find purchases
Search the list, or filter it by contractor, payment, source and purchase date. "Export CSV" downloads the purchases that match.
