Send an invoice and record payments

Open the invoice from Invoices. The top of the page shows the "Total", "Paid", "Balance due" and "Due date". On a phone, the actions are in the "More actions" menu.

Send the invoice

  • "Email invoice" sends the invoice and a link to pay it. Enter the address in "To" and an optional "Message". A draft becomes "Sent".
  • "Copy pay link" copies the link that the buyer uses to pay by card. It shows only when you set up a card processor and the invoice has a balance due.
  • "PDF" downloads the invoice.
  • "Print" opens the invoice to print.
  • "Mark as sent" changes a draft to "Sent" without an email.

The buyer can pay by card through the pay link only when you set up a card processor in Invoice payments. With "No online payments", the invoice email has no "Pay" button, and you cannot copy a pay link.

Record a payment

Use this for a payment you took outside CoinManagerPro, such as cash or a check.

  1. Click "Record payment".
  2. Enter the "Amount". It starts at the balance due.
  3. Choose the "Method", such as "Cash", "Check", "Wire transfer" or "Zelle".
  4. Enter a "Reference", such as the check number, and "Notes" if you need them.
  5. To email a receipt, check "Email a receipt to" the customer. This shows only when the invoice has an email.
  6. Click "Record payment".

Partial payments

Enter less than the balance due to record part of the amount. The invoice becomes "Partly paid". Record each later payment the same way. When the payments reach the total, the invoice becomes "Paid".

An invoice with a balance after its due date becomes "Overdue". A draft keeps the "Draft" status, because you did not send it. When a draft has coins on it and is past its due date, the app shows an "Overdue" badge and a warning on the invoice. The customer gets no email.

Payments and receipts

The "Payments" section lists each payment with its date, method, reference and amount. Click "Send receipt" to email the receipt for a payment. A card payment that is "Held for fraud review" or "Declined" does not count as paid.

Void an invoice

You need the "Void invoices" permission. You cannot void a paid invoice.

  1. Click "Void".
  2. Click "Void invoice" to confirm.

The coins on the invoice go back in stock. The invoice stays in the list as "Void", and the customer cannot pay it. To take back part of a sale, record a return. See Record a return and refund.
