Track custody of coins

Custody shows the coins that people have now, the requests for access, and a log of each move. You need the "View coins" permission to see it.

Check out coins

  1. Go to Custody.
  2. Click "Check out coins".
  3. Add the coins.
  4. Select the "Responsible person".
  5. Select the "Purpose": "Sale", "Show or exhibit", "Photography", "Grading submission", "Research" or "Other".
  6. Enter the "Expected return" date.
  7. Optional: enter a "Purpose note" and the "Condition" of the coins when they leave.
  8. Click "Check out".

To check out one coin from its page, click "Custody" and then "Check out".

Check in coins

  1. On the "Checked out" tab, select the coins.
  2. Click "Check in".
  3. Examine each coin. Select "Condition matches" or "Damaged".
  4. When a coin does not match or has damage, describe it in "Difference or damage".
  5. In "Return to", select "The place each coin came from" or "One place for all coins".
  6. Click "Check in".

To give more time, select the coins and click "Change return date".

Request access

A member who can see coins can ask an approver for access to them.

  1. Click "Request access".
  2. Add the coins and tell the approver why you need them.
  3. Click "Send request".

The approvers get a notification. The request shows on the "Requests" tab. An approver clicks "Approve" or "Decline".

The log

The "Log" tab shows each custody event. The "Custody" tab on a coin page shows the custody log of that coin.
