Know who has each coin that is out of the vault.

Check coins out to a person for a show, photography, grading, or a sale. CoinManagerPro shows who has each coin and when it is due back, and logs every move.

Check-in records the condition of each coin when it comes back.

The Custody page in CoinManagerPro: 4 coins checked out, 1 overdue, 1 request to review. James Carter has two coins out for the Long Beach Expo, and the 1893-S Morgan dollar is overdue. Linda Brooks has a High Relief double eagle out for photography and a half cent out for a CAC submission.

What custody does

Check out coins

Pick the coins, the responsible person, the purpose, and the expected return date. Add a note and the condition of the coins when they leave.

Who has what

The Checked out tab groups coins by person, with the earliest due first. Overdue coins show in red.

Check in with a condition check

Examine each coin when it comes back. Mark it as matching or damaged, and describe any difference. Return the coins to where they came from or to one place.

Change the return date

Select coins and set a new expected return date when you give more time.

Access requests

A member who can see coins asks for access and says why. Approvers get a notification and approve or decline. An approval checks the coins out to the person who asked.

Separate permissions

"Check out coins" and "Approve access" are separate permissions. An approver who is not an admin cannot decide their own request.

Audit log

The Log tab lists each check-out, check-in, access request, memo event, and stock count change. Each coin page has its own custody log.

Status on every coin

A checked-out coin shows "Checked out" in your inventory, and the stock on your sales channels updates when it leaves and comes back.
